Bid Boss Inc. ("Company," "we," "us," or "our") is committed to protecting the privacy of individuals who interact with our auction platform, website, and services. This Policy explains how we collect, use, disclose, retain, and protect personal information in compliance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario legislation.

This Policy applies to personal information collected during account registration, bidding, purchases, communications sign‑ups, booking appointments, or any other interactions with Bid Boss in Ontario and throughout Canada.

3. PERSONAL INFORMATION WE COLLECT
3.1 Contact & Registration Data. When you register or sign up (for auctions, newsletters, or bookings), we collect the personal contact details you provide, such as:

  • Full name
     

  • Email address
     

  • Telephone number
     

  • Mailing and billing addresses
     

  • Any additional information you choose to supply (e.g., company name)
     

3.2 Transaction & Auction Data. We collect bidding history, hammer prices, buyer’s premium, handling fees, taxes, and settlement invoices.

3.3 Service Integration Data. When you book via Koalendar or ship via PkgPlace, we share only the minimum necessary contact, shipping, and lot details required to fulfill those services.

3.4 Technical & Usage Data. We collect website usage information (IP address, device type, browser version, pages visited) and may deploy cookies or similar technologies.

3.5 Communication Records. We maintain records of your correspondence with us (emails, chat transcripts) to resolve inquiries and support requests.

Video Surveillance
For safety, security, and loss prevention, Bid Boss Inc. uses video surveillance cameras at warehouse entrances, pickup areas, and other access points. Signage is posted to notify individuals before they enter monitored areas. Recorded footage is retained only as long as necessary for these purposes and may be shared with law enforcement or regulatory authorities if legally required.

4. HOW WE USE YOUR INFORMATION
We use personal information to:

  • Provide and administer auctions, account services, and booking appointments
     

  • Process and settle transactions, payments, invoices, and shipments
     

  • Communicate transactional and marketing messages (with your consent for marketing)
     

  • Respond to inquiries, complaints, and support requests
     

  • Improve our website, services, and customer experience
     

  • Comply with legal, tax, audit, and regulatory obligations
     

  • Detect and prevent fraud or unauthorized activities
     

5. THIRD‑PARTY DISCLOSURES
We do not sell or rent personal data. We share information strictly on a need‑to‑know basis with:

  • Google Workspace: for email hosting and account management
     

  • Wix: for website hosting, forms, and email communications
     

  • Koalendar: for appointment scheduling
     

  • PkgPlace: for arranging and fulfilling shipping services
     

  • HiBid and AuctionFlex360: our auction platform providers, which host bidding data and user accounts
     

  • Professional Advisors: such as accountants, legal counsel, or collection agencies when necessary
     

  • Regulatory Authorities: when required by law or court order
     

All third parties must adhere to obligations at least as stringent as those in this Policy and PIPEDA requirements.

6. COOKIES & TRACKING
We use cookies and similar technologies to enhance functionality and analytics. You can disable cookies in your browser settings, but some features may not work as intended.

7. DATA RETENTION
We retain personal information only for as long as necessary to fulfill the purposes outlined above or as required by law (e.g., six‑year tax and corporate recordkeeping under Ontario law). When no longer needed, information is securely destroyed or anonymized.

8. SECURITY & BREACH NOTIFICATION
8.1 We implement administrative, technical, and physical safeguards (e.g., SSL/TLS, access controls) to protect data.
8.2 In the event of a breach posing a real risk of significant harm, we will:

  • Notify affected individuals promptly, describing the nature of the breach and recommended steps
     

  • Report the breach to the Office of the Privacy Commissioner of Canada and, if applicable, the Information and Privacy Commissioner of Ontario
     

  • Conduct an internal investigation and remedial action to prevent recurrence
     

9. YOUR PRIVACY RIGHTS
9.1 Access & Correction: You may request access to or correction of your personal information by emailing privacy@bidbossinc.ca. We will respond within 30 days.
9.2 Withdrawal of Consent: You may withdraw consent to marketing communications at any time via unsubscribe links or by contacting us. Withdrawal may limit certain services.
9.3 Complaints: Contact us first at privacy@bidbossinc.ca. If unresolved, you may file a complaint with the Office of the Privacy Commissioner of Canada or the Information and Privacy Commissioner of Ontario.

10. CROSS‑BORDER TRANSFERS
Your data may be stored in or accessed from servers located in Canada and in the United States by our service providers (Google, Wix, Koalendar, HiBid, AuctionFlex360). We ensure equivalent privacy safeguards through contractual agreements and standard contractual clauses where required.

11. CHILDREN’S PRIVACY
Our services are not directed at individuals under 18. We do not knowingly collect personal information from minors. If you become aware of such collection, contact us and we will delete the information.

12. CHANGES TO THIS POLICY
We may revise this Policy to reflect changes in our practices or legal requirements. We will post updates with a new "Last updated" date and, where required by law, notify you in advance.
